1. Information we collect when you contact us
We may collect personal information when you request a quotation, ask for technical support, arrange a site visit, or buy our sealing products and services. This can include your name, company name, job title, contact number, email address, delivery address, physical site location, and billing details. In some cases we may also record machine details, liner specifications, product type, and service history so that we can assist you properly.
Where needed, we may collect information from operators, procurement teams, plant managers, and maintenance staff at your business. We only collect information that is relevant to supplying induction cap sealers, foil liners, installation work, commissioning, training, maintenance, and support.
2. How we use your information
We use personal information to respond to enquiries, prepare quotations, schedule installations, provide line commissioning, arrange spares, support seal validation, and carry out preventive maintenance or breakdown repairs. We may also use your information to follow up on open tickets, confirm orders, manage accounts, and keep accurate service records.
- To supply requested products and services
- To communicate about installations, training, or site visits
- To issue invoices, statements, and delivery documents
- To meet legal, tax, and record keeping obligations
- To improve service quality and technical support
We do not use personal information for purposes unrelated to our business unless you have agreed to it or the law allows it.
3. Sharing information with trusted parties
We may share personal information with service providers who help us run our business, such as courier companies, payment processors, IT support providers, and technical contractors. These parties may only use the information for the work we assign to them and must keep it confidential.
We may also share information with auditors, legal advisers, or regulatory bodies where required by law. If a delivery, installation, or repair is arranged at your site in Durban, Pinetown, Prospecton, Pietermaritzburg, Richards Bay, or elsewhere in South Africa, the relevant contact details may be shared with our field team so they can complete the job properly.
- We limit access to staff who need it to do their work
- We do not sell personal information
- We take reasonable steps to protect records during transfer and storage
4. Storage, security, and retention
We store personal information in secure systems and keep it only for as long as needed for the purpose it was collected, or for as long as required by law. This may include tax, accounting, and warranty records. We use reasonable technical and organisational safeguards to reduce the risk of loss, unauthorised access, misuse, or disclosure.
Because we work with industrial sites and service records, some information may need to be kept for longer periods to support traceability, fault investigations, or compliance checks. Access is restricted where practical and records are reviewed periodically. During load-shedding or connectivity interruptions, our teams may use offline notes and then update records once systems are available.
5. Your rights under POPIA
You have the right to ask what personal information we hold about you, to request correction of inaccurate information, and in some cases to request deletion or objection to certain processing. You may also withdraw consent where processing depends on consent, subject to legal and contractual limits.
If you believe your information is incorrect, outdated, or being used improperly, please contact us and we will assess the request. We may ask for proof of identity before making any changes, especially where the request relates to commercial or account records.
- Request access to your personal information
- Ask us to correct or update your details
- Object to certain processing where allowed by law
- Withdraw consent where consent was the basis for processing
6. How to contact us about privacy
For any privacy related questions, requests, or complaints, please send a message through our contact form. We will handle your request through our internal process and may refer matters to the relevant responsible person where needed.
This policy applies to Bottle Sealers and the operator Astros Marketing (Pty) Ltd. It may be updated from time to time to reflect changes in the law, our services, or our operating practices. Please check this page periodically so you remain informed about how we handle personal information. One small note, we take privacy seriously and expect the same from our suppliers and service partners.
